QR code tagging
Auto-generated codes, printable 21-up A4 office sheets and 50 mm peel-and-stick layouts, and deep links that open the asset's record in any browser. Every asset becomes a scan point.
No app to install
Inspectors scan a QR code with their phone's camera. The inspection opens in the browser. Nothing to download, nothing to update, no MDM rollout.

Tamper-resistant QR tokens
Every QR sticker carries a per-tenant HMAC-signed token with a configurable lifetime. Reprint stickers without keys leaving Hovermarks. Untrusted scans return a 404 by default. Leaking an asset GUID alone gets a stranger nothing.

Conditional-logic checklists
Eight field types (pass/fail, yes/no, text, number, photo, single-select, multi-select and signature) and skip-logic. Pre-built templates covering fire safety (NFPA 25 sprinklers, NFPA 72 alarms, NFPA 10 extinguishers), emergency power (NFPA 110 generators), workplace safety (OSHA 1910 LOTO, ladders), electrical (NFPA 70B), HVAC, lifting equipment (OSHA 1910.179 cranes, ASME B30.9 slings and rigging), fall protection (ANSI Z359), and vehicle pre-use checks (OSHA 1910.178), or build your own in minutes.
Installs to the phone home screen
Runs in any phone browser with nothing to install from a store, and installs to the home screen like an app. If the signal drops while an inspector is completing an inspection, the submission and its photos are held on the device and sent as soon as the connection returns. Photos auto-compress to around 300 KB. The app needs connectivity to open and load your assets, so it does not yet start a fresh inspection with no signal at all.
Auto-generated defects and corrective actions
On every plan: when a question you have marked to raise a flag gets a failing answer, submitting the inspection opens a tracked defect and a corrective action against the asset automatically. Work orders are on every plan too, and a manager can raise one straight from the defect. On Professional, automation rules raise the work order for you, from a failed inspection or from a defect still open after a set number of days.
Work-order costing
Parts inventory (with decimal quantities for cable / bulk material), labour and materials roll-up. Multi-currency cost tracking across GBP, USD, EUR, AUD, and CAD. Work orders, parts inventory, customer quotes, and invoices render in your tenant's selected currency.
Compliance
Roll up risk across every site, prove it with signed-off records, share it on demand.
Compliance score by site
The share of inspections that passed in the period you pick (30 days to 12 months), coloured green at 80% and above, amber from 60%, red below 60%. Broken down by site with a monthly trend, plus an at-risk list of assets that are overdue for inspection or have open defects. It is an internal management measure on every plan, not a regulatory score.
Branded PDF reports
Branded reports with your logo and the inspector's captured sign-off signature, with a report number and page numbers on every page.
Auditor pack
On every plan, an Admin generates a single PDF for a period of up to 18 months: the inspections completed in it, the first 80 audit-log entries for those inspections and their assets, and the result of an integrity check run over all of them. Send it to an auditor or insurer; they need no Hovermarks login to read it.
Reports and exports
Branded PDF reports and CSV exports you can share with regulators, insurers and landlords.
Tamper-evident audit log
Changes to assets, inspections, defects, work orders, actions, checklists, sites, categories, schedules and documents, plus key events such as role changes, licence changes and API key changes, are written with who and when to an append-only, hash-chained log. It is recorded on every plan; searching it in the app is a Professional feature. Sign-ins are not in this log: Microsoft Entra External ID keeps its own.
Soft-delete and site archiving
Deleting an asset, site, checklist, work order or certificate hides it rather than wiping it, sites can be archived and restored from the Sites page, and soft-deleted records can be recovered by contacting support. Deleting a defect is permanent.
The public layer
Only your staff need seats. Guests, customers, and auditors interact with your assets free: no app, no login, no licence.

Public scan page
Anyone who scans a tag sees the asset, its identity, and the opt-in compliance status panel. The public scan page never needs an account and never consumes a seat.

Walk-up fault reporting
Anyone can report a fault with photos straight from the sticker, bot-protected, with no account existing at any point. Reporters are unlimited on every plan; reports are metered per plan (Starter 50/month, Professional 500, Enterprise unlimited) as an abuse valve.
Operations
Per-organisation isolation and per-tenant SSO for organisations that span sites and people.
One organisation per session
Every session is scoped to one organisation, and query filters guarantee you only see that organisation's data. One sign-in can belong to several organisations, and a contractor or consultant switches between them from the organisation menu; each session still sees only one organisation's data.
Email sign-in with always-on MFA
Tenant isolation enforced via query filters scoped to the authenticated tenant claim. Every user signs in with email and password as first factor, and a one-time code sent to the user's verified email as second; identity is handled by Microsoft Entra External ID. MFA enforced by Conditional Access on the Hovermarks identity tenant on every account, every plan. Professional and Enterprise customers can also federate to their own Entra tenant (OIDC + PKCE) and layer their own Conditional Access on top. API calls authenticated by signed JWTs with short expiry.
AI
Azure-native AI that augments inspectors and accelerates audit prep. Opt-in per tenant with a hard monthly cost cap.

AI photo quality gate
Azure AI Vision checks each new inspection photo and, when it can't confidently recognise anything in the frame (typically a blurred, dark or blank shot), asks the inspector to retake it; the rejected photo isn't saved, so it never reaches the report. Fails open: if the check can't run, the photo is accepted. Hard per-tenant monthly cost cap.

AI certificate and nameplate reading
Upload a certificate or third-party test report to the certificate register (Professional) and Azure AI Document Intelligence extracts the text; an Azure OpenAI pass suggests the certificate type, dates and holder. On every plan, a photo of an asset's nameplate fills in manufacturer, model and serial on the new-asset form, which saves typing for whoever's onboarding 100 fire extinguishers.

What's wired up today: webhooks, the public REST API, Microsoft Entra ID. Xero accounting sync is coming soon, and more is on the roadmap.

Coming soon: Hovermarks will push every issued invoice to Xero with the same invoice number as an idempotency key, so your accountant sees Hovermarks invoices alongside everything else, with no double-entry. Not yet connected in production.

Professional and Enterprise. Subscribe Slack, Teams, or any HTTPS endpoint to events like inspection.submitted, inspection.failed or permit.approved. Payloads HMAC-SHA256-signed with a per-subscription secret; SSRF-guarded against private and metadata IPs.

Professional and Enterprise. Per-organisation API keys that act with the role of the admin who created them, on the same endpoints the dashboard uses.
