How does Hovermarks pricing work?

Accepted Answer

You buy a fixed number of seats (3, 10, 50, whatever you need) and pay $19/seat/mo on Starter or $49/seat/mo on Professional. Invite as many people as you like. Invitations are free. You assign seats explicitly to whoever needs to use the dashboard.

What's the smallest team you support?

Accepted Answer

One. You can run Hovermarks on Starter for $19/mo for a single user, or Pro for $49/mo if you need the audit log, automation, customer portal, or REST API as a one-person operation.

Question 4

What if I invite someone but don't assign them a seat?

Accepted Answer

They can sign in but they hit a 'Ask your admin for a licence' page. They don't see any data until you give them a seat. No charge for unassigned invitees.

Can I scale up or down?

Accepted Answer

Yes, anytime. Buying more seats applies immediately and is prorated. Reducing your seat count schedules for your next renewal so you don't lose seats you've already paid for. Both are one-click in Settings → Billing.

Do you charge for guest viewers / people who only scan QR codes?

Accepted Answer

No. Four groups interact with your assets without ever consuming a seat: anyone who scans a QR tag sees the asset's identity and its opt-in compliance status panel; walk-up fault reporters submit photo reports straight from the sticker with no account; your customers view shared reports and reports through a magic-link portal; and auditors verify any report or auditor pack by its code on the public verify page. You only pay for staff who sign in to the dashboard.

Do fault reporters need an account?

Accepted Answer

No. A fault report is submitted from the asset's QR sticker with photos, protected against bots, and no account exists at any point. Reporters are unlimited on every plan. The reports themselves are metered per plan (Starter 50 per month, Professional 500, Enterprise unlimited) as an abuse valve; the cap is per organisation, not per person.

Do my customers need a licence to view their reports and reports?

Accepted Answer

No. On Professional and Enterprise you share site reports and reports through a customer portal opened by a magic link; the link is the credential. Your customer sees their reports and reports without an account, a login, or a seat.

How do auditors verify a report?

Accepted Answer

Every report carries a verification code and a public verify URL. An auditor enters the code or scans the QR on the report and confirms it is genuine, with its issue details. No account, no licence, free on every plan.

Can I cancel?

Accepted Answer

Yes. 'Cancel subscription' keeps full access until the end of your current billing period, then goes read-only. You can resume any time before the period ends.

How do invitees sign up?

Accepted Answer

They click the link in their invite email, create their account with an email address and password, and verify the address with a one-time emailed code. Identity is handled by Entra External ID, and a one-time code to the verified email is required on every sign-in. No SMS in the loop. MFA is enforced by Conditional Access on the Hovermarks identity tenant, required on every account, on every plan. Enterprise customers can also federate to their own Entra tenant and layer their own Conditional Access on top.

What counts as an asset?

An asset is any item you tag and inspect: a fire extinguisher, a lifting hoist, a piece of plant equipment. The plan limit caps how many asset records exist in your tenant at one time; deleting an asset frees the slot.

Can I exceed my plan's cap temporarily?

Accepted Answer

We don't auto-bill overages. Once you hit a cap (assets, sites, issue reports), the system blocks further additions until you upgrade plan or remove rows. Need a one-off bump? Talk to support.

How much storage do I get?

Accepted Answer

Unlimited storage for inspection photos, documents and reports on every plan. We don't meter your evidence, and there is no per-gigabyte charge at any tier. Photos auto-compress to around 300 KB on capture, so a busy multi-site tenant stays fast as well as uncapped.

What is certificate management, and which plan has it?

Certificate management is the register of certificates issued to you by third parties: LOLER thorough examinations, PAT, calibration certificates. It tracks expiry dates, raises renewal alerts, and stores the certificate document against the asset. It is available on Professional and Enterprise. Every plan, including Starter, still runs inspections and still produces the branded, tamper-evident report generated from each completed inspection. The distinction is deliberate: a certificate is something a third party issues to you, a report is what the competent person produces and Hovermarks renders.

How does sales tax work?

Prices shown exclude US sales tax. Stripe Tax adds the correct rate at checkout based on your billing address. We register and remit tax in any US state where we have a nexus obligation.

Can I switch from monthly to annual billing later?

Accepted Answer

Yes. From the Billing tab in Settings, one click. The cycle swap applies immediately with proration handled in-place (no Stripe portal hop). Upgrades and downgrades between plans work the same way: a confirmation modal shows the price difference before anything changes on your card.

How does the 30-day free trial work?

Accepted Answer

30-day free trial. No credit card required. Trial tenants get unlimited assets, so you can import your whole estate rather than a sample, plus 3 seats and 1 site. Thirty days is long enough to import an estate, run examinations, issue a report and see the next-due date land, which a fortnight was not. Convert to a paid plan at any point during or after the trial.

Can I export my data?

Yes, at any time. Every site can export inspections, asset registers, and verifiable reports as CSV or branded PDFs. Per-tenant JSON export for full data portability is also available.

Which plans include bring-your-own Microsoft Entra SSO?

Accepted Answer

Bring-your-own Microsoft Entra SSO (OIDC + PKCE) is available on Professional and Enterprise. Every plan, including Starter, already ships with sign-in via Entra External ID (email and password as first factor, one-time code sent to the verified email as second) with MFA enforced on every sign-in by Conditional Access on the Hovermarks identity tenant. Bring-your-own SSO also federates sign-in to your own Entra tenant and lets you layer your own Conditional Access on top. Session integrity is verified on every API call via signed JWTs with short expiry.

How does scanning work without a dedicated app?

Accepted Answer

Inspectors scan a QR code with the camera on any modern phone. The QR opens the right inspection record in the browser. No app to install, no MDM rollout, and no app-store accounts to provision. If you want a home-screen icon, Hovermarks installs as a PWA on iOS and Android.

What are the offline limits?

Accepted Answer

Inspectors work in the phone browser, and the app installs to the home screen. If the signal drops part-way through an inspection, the submission and its photos are held on the device and sent when the connection returns. Photos auto-compress to around 300 KB so a 5-photo inspection sips bandwidth. Note the boundary: the app needs connectivity to open and to load your assets, so it does not yet start a fresh inspection with no signal at all.

Where is my data hosted, and how do you handle data protection?

Hovermarks runs primarily on Microsoft Azure UK South, a Tier IV-equivalent Microsoft datacentre region with the same security controls as Azure US regions. Database records and blob attachments (photos, reports, tenant logos) are geo-replicated to Azure UK West for regional disaster recovery; both are UK-sovereign Microsoft datacentres. We process customer data under UK GDPR (functionally equivalent to GDPR), with EU Standard Contractual Clauses available in our DPA for cross-border transfer. We are the data processor; you remain the data controller. Sub-processor list at /legal/subprocessors. US data residency is on the roadmap; talk to us if it's a procurement requirement.

What AI features ship today, and what does it cost me?

Four Azure-native AI features available on all paid plans, off by default and opt-in per tenant: photo quality gate (Azure AI Vision flags blurry / off-subject inspection photos), report text extraction (Azure AI Document Intelligence + Azure OpenAI extract structured fields from photographed reports), voice-to-text inspection notes (Azure AI Speech), and natural-language asset search (Azure OpenAI). All three run in Azure UK South. No customer data leaves the UK. Microsoft's abuse-monitoring opt-out is applied to Azure OpenAI so prompts and outputs are not retained. There's a hard monthly cost cap per tenant, applied in GBP: £5 on Starter, £20 on Professional, £100 on Enterprise default (custom on request), roughly $6, $24, and $120. Once the cap is hit, the next call simply doesn't happen. Off by default; turn on in Settings → AI.

I'm a consultant working across multiple customer organisations. Does that work?

Yes. Hovermarks supports multi-tenant identity natively. One Microsoft account can be a member of any number of customer organisations on Hovermarks. Sign in once, pick the organisation you're working in from the org switcher, and you get a fresh tenant-scoped session for that org. Database query filters guarantee you never see another organisation's data. The org switcher is in the header of every dashboard page.

Does Hovermarks integrate with my accounting system?

Accepted Answer

Xero, on Enterprise. Talk to sales to enable. The backend is in production today (OAuth 2 with auto-refreshing tokens, one-way invoice push, invoice number used as the idempotency key). We walk you through the connection during onboarding because the self-serve flow in the dashboard isn't shipped yet. Two-way Xero sync is on the roadmap. QuickBooks and Sage are also roadmap; tell us which one matters most.
