Deficiencies and work orders
From a failed inspection to a fixed asset, on one record.
When an inspection finds a problem, Hovermarks opens the deficiency and the corrective action for you. A manager turns it into a work order, logs parts and labor, and closing the work order resolves the deficiency.
If the software stops at the inspection report, the repair lives in someone's inbox. In Hovermarks the failed answer, the deficiency, the corrective action, the work order and its cost stay on the asset's record, so you can show an AHJ, insurer or auditor what was found and what was done.
Deficiencies open themselves
When an inspection is submitted as failed or flagged, the server opens a deficiency and a corrective action for each flagged answer. The action goes to the site's Site Manager, or an Admin, and is due in 7 days.
Corrective actions with photos
Each corrective action has a priority, an assignee and a due date. Whoever completes it adds completion notes and photos.
One click to a work order
From the deficiency, an Admin or Site Manager creates a work order with a priority, an assignee (staff, or a contractor working for you), a scheduled date and an estimated cost. On Professional, automation rules can create it for you, from a failed inspection or from a deficiency still open after a set number of days.
Parts, labor and cost
Add parts from your parts list, which takes them out of stock, and labor as hours at an hourly rate; the actual cost totals itself. Admins and Site Managers manage costs, and the assignee updates status and notes.
Close it out
Completing the work order resolves the linked deficiency, and reopening it reopens the deficiency. Download a work order PDF with your logo, the asset and site, parts, labor and totals. Each morning, assignees get an email about overdue actions, deficiencies and work orders.
Plans and limits
Deficiencies, corrective actions, work orders, parts and labor are on every plan, including the free trial. Automation rules that create work orders for you are on Professional.
What it does not do
- No photo upload or e-signature on the work order itself; completion photos go on the corrective action.
- No due date or SLA timer on work orders, only a scheduled date.
- Work orders don't repeat on a schedule; planned maintenance runs as a scheduled checklist.
- No purchase orders, supplier accounts or automatic reordering for parts.
Frequently asked questions
- Are deficiencies created automatically?
- Yes, on every plan. A flagged answer on a submitted inspection opens a deficiency and a corrective action on the asset. Creating the work order is one click on Starter and can be automated on Professional.
- Can I assign a work order to an outside contractor?
- Yes, once they have accepted your invitation and their access is active. They can update the status and notes; costs stay with your managers.
- Can I schedule preventive maintenance?
- Preventive maintenance runs as a checklist on a schedule, like an inspection, and failures feed the same deficiency and work order flow. Work orders themselves don't repeat on a schedule.
