Fire safety

Defensible fire-safety evidence, ready before the inspector arrives.

Building owners, facility teams and in-house maintenance departments carry the NFPA record-keeping duty for their own property, whoever performs the inspection. Hovermarks holds that owner-side record: NFPA-aligned templates (NFPA 10 extinguishers, NFPA 25 sprinklers, NFPA 72 alarms, NFPA 110 generators), per-device history that survives a change of contractor, and branded PDF reports with the inspector's sign-off signature. Note for contractors: Hovermarks does not file to third-party AHJ filing portals, so if your jurisdiction mandates portal submission you will file separately.

The challenges we hear most often

  • Inspection history that leaves with the contractor who held it
  • NFPA record-keeping duties that stay with the property across every vendor change
  • Evidence packs requested at short notice by insurers or an AHJ
  • Deficiencies raised on a report with nobody owning the correction

What NFPA and OSHA require of a building owner

The cycles below are OSHA's and the NFPA standards' own; the duty stays with the owner whoever does the work. Hovermarks changes where the record lives and whether it is tied to the device that was checked, not what the standard requires.

  • Portable extinguishers

OSHA 1910.157(e), NFPA 10. Monthly visual inspection and annual maintenance; 6-year maintenance on stored-pressure dry chemical units that need a 12-year hydrostatic test.

Annual maintenance date, kept 1 year after the last entry or for the life of the shell, whichever is less.

  • Sprinklers and standpipes

NFPA 25. Weekly, monthly, quarterly, annual and 5-year tasks, plus sprinkler sample testing by type and age.

    Record per component.

  • Fire alarm

NFPA 72, Chapter 14. Visual inspections monthly to quarterly, an annual test of every initiating device, a semiannual battery load test.

    Device-level records, not system summaries.

  • Emergency lighting

NFPA 101, 7.9.3. 30-second functional test every 30 days; 90-minute test every year.

    Written record of every test.

  • Emergency generators

NFPA 110. Weekly inspection; monthly exercise under load for at least 30 minutes.

Record of every inspection and test.

  • Fire and smoke dampers

NFPA 80, NFPA 105. Tested after installation, again after one year, then every 4 years (6 in hospitals).

    Result per damper.

What Hovermarks gives you

  • NFPA 10, NFPA 25, NFPA 72 and NFPA 110 aligned ready-made checklists
  • Per-device service history under a tamper-evident audit trail, held by the property rather than the contractor
  • A recurring schedule and next-due date per device, on any interval you set, from weekly to multi-year
  • Deficiencies with an owner and a remedy date, tracked to close
  • Branded PDF reports with the inspector's sign-off signature, report number and page numbers
  • CSV export at any time, including while your organization is read-only after a trial or subscription ends, and a full JSON export on request, so the record moves when a filing or a contractor does

Use case

How a building owner or facility team would use it

Tag every extinguisher, sprinkler riser, alarm device and generator once. In-house staff run the monthly and weekly checks from a phone; the contractor's annual and multi-year work is recorded against the same devices. When the contractor changes, the history stays with the building, and an AHJ visit or insurance renewal is answered by scanning the device rather than chasing three vendors for paperwork.

Frequently asked questions

What does fire inspection software do?
It replaces paper service tags and binders with a per-device digital record: a technician scans the device's QR tag and starts its NFPA 10, NFPA 25 or NFPA 72 checklist from the device's page, an in-progress check is held on the device if the signal drops and sent when it returns, and every completed inspection produces a branded PDF report tied to that device's history, with next-due dates scheduled per asset.
How much does fire inspection software cost?
Hovermarks starts at $19 per user per month on Starter and $49 on Professional, with a 30-day free trial and no card required. There are no per-inspection or per-report fees.
Does Hovermarks file reports to third-party AHJ filing portals?
No. There is no integration with any third-party AHJ filing portal today. If you are a contractor working in a jurisdiction that mandates portal submission, you will file through the portal separately, and software with a native integration will save you that step. Hovermarks holds the owner-side record the NFPA standards require, which is a different job from filing to a jurisdiction.
How does an AHJ or insurer check the record?
Send the branded PDF report, which carries the technician's sign-off signature, a report number and page numbers, or an auditor pack for a whole period: one PDF of its inspections and audit-log entries, which they read with no Hovermarks login.
