Equipment check-out
See who has the equipment, and when it's due back.
Equipment checkout in Hovermarks replaces the clipboard by the tool crib: scan the tag, pick who is taking the item, set a return date, and check it back in when it comes back.
Checkout lives on the same QR-labeled asset record as the item's inspections, so a harness, a ladder or a gas detector shows both whether it is in date and who has it right now. It is off by default; an Admin turns it on for the organization in Settings.
Check out in a few taps
Scan the tag or open the asset from the list, pick a team member or type a name for someone without an account, such as a temp worker, and add an optional return date and note.
One holder at a time
An asset can be out to one person at a time. Retired assets and assets at archived sites can't be checked out, and an asset marked out of service asks for confirmation first.
What's out, at a glance
Dashboard tiles count the items checked out and the items overdue for return, and the asset list filters to either one.
Late returns get chased
A daily email lists overdue returns for the person holding them. For a named person with no account it goes to the team member who lent the item, then to site managers, then Admins. The overdue work email setting must be on too.
Every hand-off on record
Each checkout and return, with its notes, is written to the audit log and appears on the asset's History tab.
Plans and limits
Included on every plan, including the free trial. Admins, Site Managers and Inspectors can check items out at the sites they can access. Admins and Site Managers can check in any item; an Inspector can check in items they hold or lent. Contractor users can't check equipment out.
What it does not do
- No reservations or booking calendar.
- No checkout by contractor users.
- The public scan page never shows who holds an item; only signed-in users see it.
- No kit or bundle checkout: each asset is checked out on its own.
Frequently asked questions
- Can I check equipment out to someone without a Hovermarks login?
- Yes. Type their name instead of picking a user. The overdue email then goes to the team member who lent the item.
- Does the person borrowing the equipment need a seat?
- No. Only your own staff who sign in need seats. Someone you check an item out to by name needs no account.
- Does a checked-out asset keep its inspection status?
- Yes. Checkout sits on the same asset record, so the next inspection date, open deficiencies and history stay with the item while it's out.
